A practical backup plan can protect family photos, business records, and important documents from hardware failure, theft, accidents, and ransomware.

If your computer stopped working tomorrow, what would you lose? Family photos, tax records, customer details, invoices, and years of documents can disappear because of a failed drive, accidental deletion, theft, fire, or malicious software.
A backup gives you another copy to recover from. It is simple insurance for information that may be difficult, expensive, or impossible to replace.
Decide what matters most
Start with the files that would cause the most harm if they disappeared.
For a household, that may include:
- Photos and videos
- Personal documents
- Tax and financial records
- School or university work
- Important messages and contacts
For a business, include the information needed to continue operating:
- Customer and supplier records
- Invoices and accounting files
- Email and calendars
- Website files and databases
- Contracts, templates, and internal procedures
Remember to check phones, tablets, cloud accounts, and external devices. Important information often lives in more places than expected.
Use the 3 2 1 approach
A useful backup plan follows three simple numbers:
- Keep three copies of important information
- Store them using two different methods
- Keep one copy in another location
The first copy is the one you use every day. The second might be on an external drive. The third could be with a reputable cloud backup service or on another secure drive stored elsewhere.
Separate locations matter. A backup beside your computer may help after a drive failure, but both copies could be lost in the same theft, fire, or flood.
Cloud sync is not always a backup
Cloud storage is useful, but synchronising a folder does not automatically make it a complete backup. If a file is deleted, damaged, or encrypted by ransomware, that change may also be synchronised to the cloud.
Some services keep previous versions or deleted files for a limited time. Check what your service actually provides, how long older versions remain available, and whether you can restore an entire folder after a serious incident.
A dedicated cloud backup service is usually designed for recovery and may keep historical versions. Whatever you choose, protect the account with a strong unique password and multifactor authentication.
Keep one copy disconnected
Ransomware can encrypt files on a computer and may also reach connected external drives or network storage. Keeping one recent copy offline greatly reduces the chance that the same incident destroys both the original and the backup.
An external drive should be disconnected when the backup is complete. Businesses can rotate two drives, keeping one securely stored away from the workplace while the other is used for the current backup.
The Australian Cyber Security Centre recommends keeping an offline copy and storing at least one backup in a different location. Its backup guidance also recommends securing backup devices and regularly testing recovery.
Make backups automatic
A plan that relies entirely on memory will eventually be forgotten. Use automatic backups where possible and choose a schedule based on how often your information changes.
If losing one day of work would be serious, back up at least daily. A household photo collection may change less often, but phones should still upload new photos automatically and computers should follow a regular schedule.
For a business, write down who is responsible, what is included, where copies are stored, how long they are kept, and what happens when a backup fails.
Test that recovery works
A backup is only useful if you can restore it. At regular intervals, choose a few files and recover them to a different folder. Open them and confirm that they contain the expected information.
Businesses should also practise recovering the systems they rely on. A successful backup notification does not prove that every required file, application, or setting can be restored.
Start with one practical step
You do not need a perfect system on the first day. Begin by copying your most important files to a separate location. Then add automation, another storage method, and a regular recovery test.
The goal is not simply to have a backup. It is to know that if something goes wrong tomorrow, your family or business can recover without losing what matters most.
